How to Plan Transportation for an Office Christmas Party in Calgary

A week-by-week timeline for November and December, the questions to answer before you ask for a quote, and a staff email you can copy.

Most office party checklists have one line for transportation, somewhere near the bottom, that says "arrange rides". That line hides more decisions than the menu does. This guide breaks it into steps, in the order they need to happen, for a party in Calgary in December 2026.

If you would rather hand the whole thing over, see how we run Christmas party transportation in Calgary for companies.

The timeline

As soon as the date and venue are set

  • Decide that the company is providing the ride home, at least, and put it in the budget now. It is much harder to add after the invites go out.
  • Hold the vehicles. December Fridays and Saturdays go first. For 2026, those are December 4 and 5, 11 and 12, and 18 and 19.
  • Ask the venue three questions: where can a vehicle stop to load passengers, is there a sheltered spot to wait, and what time must everyone be out?

Four to six weeks out

  • Choose the model. Scheduled departures home, a shuttle loop from the office or a hotel, a dedicated car for leadership and clients, or a mix. Our guide to corporate holiday party transportation explains each one.
  • Pick departure times. Line them up with your bar close and end time. Two or three runs is typical: early, main and last.
  • Map where people live. You do not need addresses yet, only the rough split: how many north, south, east, west, downtown, and out of town (Airdrie, Cochrane, Okotoks, Chestermere).

Two to three weeks out

  • Send the staff email (template below) and ask people to opt in to the ride home and choose a departure.
  • Firm up the headcount per departure and per area, and send it to your transportation provider.
  • Name a contact for the night, someone who will not be the guest of honour and who will stay to the end.

The week of the party

  • Confirm the final numbers and the run sheet: vehicles, departure times, drop-off areas and the contact's phone number.
  • Check the forecast. If heavy snow is coming, talk to your provider about moving departures a little earlier.
  • Remind staff to leave their cars at home, and repeat the departure times.

On the night

  • Announce each departure about fifteen minutes ahead, so people can get their coats.
  • The contact walks each group to the vehicle and checks that nobody is left behind after the last run.
  • Keep a little flexibility: someone always needs a later or earlier ride. That is where a taxi or rideshare voucher is a useful backup.

The week after

  • Ask a few people how the ride home went, and note it for next year while it is fresh. Next year's planner will thank you.

The quote checklist

Have these ready and any provider can quote you quickly and accurately:

ItemWhy it matters
Date, plus a backup dateAvailability is the main constraint in December.
Venue address and finish timeSets the departure times and the drive.
Headcount per part of the nightDetermines how many vehicles, and which.
Drop-off patternOne point, a few areas, or door to door changes the time needed a lot.
Out-of-town staffAirdrie, Cochrane or Okotoks drops may need their own vehicle.
Accessibility needsSo the right vehicle and help are there.
Guests of honour or clientsThey may need a separate car on an hourly booking.

Lux Limo Service owns four vehicles: the Chevrolet Suburban, Cadillac Optiq, Lincoln MKT and Ford Transit 350 van. For bigger teams, we arrange larger coaches and mini-coaches through our partner network and run them alongside our own vehicles. A staff email you can copy

Subject: Holiday party: your ride home is sorted

Hi everyone,

Our holiday party is on [day, date] at [venue]. The company has booked transportation home, so please leave your car at home.

Vehicles will leave the venue at [time 1], [time 2] and [time 3], heading to [areas]. Please reply by [date] with the departure you want and the area you are heading to, so we can make sure there is a seat for you.

On the night, [name] is the contact for rides. Their number is [phone].

See you there,
[Your name]

Common mistakes

  • Planning only the ride there. The ride home is the one that matters.
  • "Leave whenever you like" with no schedule. People wait outside in the cold, and the vehicle runs half empty.
  • Door-to-door for a full van. The last person home waits a long time. Group by area.
  • Booking after the invites. By then, the Friday and Saturday you wanted may be gone.
  • No contact on the night. The organiser is busy hosting. Hand the rides to someone else.

Questions people ask

When should we book transportation for an office Christmas party?

As soon as the date and venue are confirmed, and before the invites go out. December Fridays and Saturdays are the first nights to be booked.

How many departure times should we schedule?

Two or three usually works: an early run after dinner for people with early mornings or sitters, a main run, and a last run at close. Announce them in the invite so people can plan.

Is it better to drop staff at home or at a central point?

For a full vehicle, grouping by area of the city is faster than door-to-door and gets the last person home sooner. Door-to-door works well in smaller vehicles.

What if some staff live outside Calgary?

Tell us how many are heading to places like Airdrie, Cochrane, Okotoks or Chestermere. Those drops often work best with their own vehicle rather than extending a city run.

Do we still need taxi or rideshare vouchers if we book a shuttle?

They are a useful backup for anyone who needs to leave outside the scheduled departures. The booked vehicles cover the main runs; vouchers cover the exceptions.
